Recording a new prepaid transaction
Select a customer and service and add a positive or negative quantity to their prepaid balance.

Use this page to record an addition, deduction, or correction for a selected customer and service. If a prepaid service already exists for that combination, Billnado adjusts its existing balance. Otherwise, Billnado creates a new balance when you save. You need access to the active administration and an active Billnado licence.
General Information
| Field | Meaning and use |
|---|---|
| Client | The customer whose prepaid balance Billnado will track. The selection contains customers from the active administration. |
| Service | The existing service to which the balance applies. Type a name or SKU and select the correct service from the suggestions; typing text without selecting a suggestion does not link a service. |
| Quantity | The change posted to the balance. Use a positive value to add quantity and a negative value to record usage or a deduction. Zero is not allowed. |
| Comment | Formatted information saved with this transaction and available later in the transaction details. |
Additional Information
Use Internal note for information your organisation wants to retain with this transaction for internal follow-up. The note does not change the balance.
Save and result
Select Save to record the transaction. Billnado adds the entered quantity to the balance for the selected customer and service. After successful registration, a confirmation appears and the details page for the updated or newly created balance opens.

|---|---|
| Positive balance | Prepaid quantity remains available. |
| Zero balance | The prepaid quantity has been fully used. |
| Negative balance | More has been deducted than added. Check whether a correction or further invoicing is needed. |
Frequently asked questions
Why can I not save after typing a service name?
You must select an existing service from the suggestions. Search again by name or SKU and select the correct row.
Does a negative quantity add new credit?
No. A negative quantity decreases the balance. Use a positive quantity to record new prepaid credit.
Is a new prepaid service always created?
No. Billnado uses the existing balance when the same customer and service already occur together. It creates a new balance only for a new combination.
