Relations
Viewing customers, prospects and suppliers
View and manage customers, prospects and suppliers by searching, sorting, archiving, restoring and safely deleting relations.
Updated on August 26, 2026
The relation list shows the customers, prospects or suppliers of the active administration. You need access to the administration and an active Billnado licence.
Customers, prospects and suppliers use the same list. The section you opened determines the role shown by default. A relation with several roles may therefore appear in more than one list.
Data in the list
| Column | Meaning |
|---|---|
| No. | The automatically composed relation number, including the prefix and fixed number length configured for the administration. |
| Type | Private or Business customer, based on the Business relation setting. |
| Name | The saved name of the relation. |
| VAT number | The VAT number, when one has been entered for the relation. |
| Active | Appears when archived relations are shown and distinguishes active from archived results. |
You can sort by No., Name and VAT number. The search field searches within the selected relations. A search without results indicates that no relations match the current selection.
Which relations are shown?
The customer list selects relations with the Customer role, the prospect list those with Prospect, and the supplier list those with Supplier. Show archived relations is off by default. Enable it to include archived records.
Actions for each relation
| Action | When available | Result |
|---|---|---|
| Details | Always. | Opens all relation details within the current customer, prospect or supplier section. |
| Delete | Only for an active relation that is not used anywhere. | Opens a double confirmation. After confirmation, the relation is permanently deleted and the list refreshes. |
| Archive | For an active relation that cannot be deleted because it is in use. | Opens a double confirmation. After confirmation, the relation disappears from the default list while its linked history is retained. |
| Restore | For an archived relation. | Opens a double confirmation and makes the relation active again. |
Important: deletion cannot be undone. A relation cannot be deleted once it occurs on a sales invoice, sales credit note, purchase invoice, purchase credit note, product delivery, product receipt, work performance, prepaid service or payment reminder. Archive the relation instead.
Creating a relation
Choose Create relation to open the wizard. The current list preselects the matching role. You can still change the roles before saving the relation.
Frequently asked questions
Why do I see the same relation in more than one list?
A relation can be both a customer and a supplier. Customer and prospect exclude each other, but the supplier role can be combined with either one.
Why is there no delete button?
The relation is already used by a linked document or process. The list offers Archive instead so its history is retained.
Why is an archived relation missing?
Enable Show archived relations. Archived records are not retrieved by default.
