Viewing and managing subscriptions
Search, filter and manage recurring invoice subscriptions.

The subscription list brings together recurring billing for the active administration. You can search, sort, filter, open, and manage subscriptions. You need access to the active administration and an active Billnado licence.
Subscription information in the list

| Number | The subscription number Billnado assigns when the subscription is created. |
| Name | The internal name used to identify the recurring billing arrangement. |
| Client | The customer for whom the subscription creates sales invoices. |
| Price excl. tax | The current total of the invoice lines excluding VAT. |
| Price incl. tax | The current total of the invoice lines including VAT. |
| Next invoice date | The date on which an active subscription becomes due for automatic invoicing again. |
| Status | The subscription's current state. |
The search box searches the number, name, and customer. You can sort by Number, Name, Client, Price excl. tax, Price incl. tax, and Next invoice date. Total shows how many subscriptions match the current search and filters. Billnado remembers your search, sorting, filters, and journal selection during the current browser session.
Filtering by status and journal
By default, the list only shows active subscriptions. Status filters can be combined.
| Filter | Meaning |
|---|---|
| Active | Subscriptions processed automatically when their next invoice date is reached. |
| On hold | Temporarily paused subscriptions that are not invoiced automatically. |
| Cancelled | Subscriptions that have been stopped. |
| Expired | Subscriptions whose schedule has ended. |
| Blocked | Subscriptions for which automatic processing is prevented, for example after invoicing failed. |
When the administration has multiple sales journals, a journal filter appears below the table. Select one journal to show only its subscriptions. All journals removes that restriction.
Actions for a subscription
| Action | Availability and result |
|---|---|
| View | Opens the subscription record to view or change all information. |
| Block | Only for an active or on-hold subscription. Immediately changes the status to blocked and stops automatic invoicing. |
| Delete | Only shown in the list for a cancelled, expired, or blocked subscription. After double confirmation, the subscription and its recurring lines are permanently deleted. |
Sales invoices already created remain after deletion, but are no longer linked to the subscription.
Important: deletion cannot be undone. Change the status when you only want to stop future automatic invoices and keep the subscription.
Use Add to start a new subscription.
Empty list and loading errors
When no subscription matches the search, statuses, and journal selection, Billnado shows an empty list. Clear the search text, enable the relevant statuses, and check the selected journal. Reload the page when the subscription information cannot be loaded.
Frequently asked questions
Why do I only see active subscriptions?
Active is enabled by default. Enable the other status filters to include paused, cancelled, expired, or blocked subscriptions.
Why is there no journal filter?
The journal filter only appears when the administration has more than one sales journal.
