Sales credit notes
Creating a sales credit note
Create a sales credit note with customer details, document settings, lines and payment information.
Updated on August 28, 2026
This wizard creates an outgoing credit note as a draft. You need access to the active administration, an active Billnado licence, a customer with a complete address, a trade name and a sales journal.
Step 1: Customer
Select the customer whose amount is being credited. Billnado copies the VAT number and default address from the customer record; the address is read-only here. If the page reports invalid customer information, first complete the default address in the customer record.
Under References, enter a Customer reference and select a Project if applicable. Projects become available after selecting a customer and are limited to that customer. Under Parameters, manage free key-value data for the document. Parameters from the selected customer are suggested.
Step 2: Document
| Field or setting | Meaning and behaviour |
|---|---|
| Date | The credit note date; initially today. |
| Due date | The date by which the credit note should be financially processed. Billnado proposes it from the customer's or administration's payment terms. |
| Comment | Formatted text included on the document. |
| Enable customer portal | Makes the guest view available and is initially enabled. |
| Self-billing credit note | Indicates that the customer issued the credit note. An additional step then requires the received PDF. |
Under Payment information, choose whether to use a Structured payment reference. Billnado generates a structured value and keeps it read-only; turn the option off to enter a regular Payment reference.
Under Global, set the default VAT rate and Default account for lines. Administration defaults are prefilled, while the selected customer's VAT rate may replace the general rate. A default account is applied to lines without their own ledger account. Trade name determines the business details and branding on the document. Under Internal, choose the numbering Journal and enter an Internal note that is not shown as the customer-facing comment.
Step 3: Lines
At least one valid line must remain. The totals continuously show the amount excluding VAT, VAT and the amount including VAT.
| Field | Meaning and behaviour |
|---|---|
| Name | Describes what is being credited. |
| Quantity | The number of credited units. |
| Unit price | The value per unit. |
| VAT rate | The VAT rate applied to this line. |
| Price excl. VAT | The calculated line total excluding VAT; it can also be edited as the calculation basis. |
| Price incl. VAT | The calculated line total including VAT; it can also be edited as the calculation basis. |
Show additional fields reveals Base price, Discount, the calculated VAT amount, Unit, a line-specific Project, Ledger account and formatted Note. Changes to the quantity, unit price, discount, price or VAT rate recalculate the related amounts.
Use Add line, Up and Down to manage the composition and order. Delete is unavailable when only one line remains.
Additional self-billing step
For self-billing, a PDF step appears. Add exactly one PDF received from the customer. Create sales credit note remains disabled until a PDF is selected. You can remove and replace it before finishing.
Billnado generates the documents for a regular credit note. For self-billing, it stores the supplied PDF instead of producing its own credit note PDF.
Creating the credit note
Choose Create sales credit note when all steps are correct. Billnado saves a draft and opens its details. The final credit note number is assigned only when you finalise the draft there.
