Viewing a stock item and changing its status
View the saved product and stock details for an individual stock item and change its status through the available stock steps.
Updated on August 26, 2026
The stock record shows the saved identification, warranty, and current status of one individual stock item. You need access to the administration and an active Billnado license.
General Information
The colored status at the top shows where the item is in the stock lifecycle.
| Field | Meaning |
|---|---|
| Name | The product name copied when this stock item was registered. A later change to the product does not update this saved name. |
| Sku | The internal product code copied at registration. This value also remains a snapshot from that time. |
Stock data
| Field | Meaning |
|---|---|
| Serial Number | The unique identifier for this item. It can be empty when stock was registered as a quantity without serial numbers. |
| Warranty | The registered warranty period in months. |
The details in both sections are read-only. Changes to the product do not alter these saved stock details.
Changing the status
Select Change status and choose the new status. The change is saved immediately without a separate confirmation. After a successful change, Billnado reloads the stock item and shows Stock status updated.
The available choices depend on the current status:
| Current status | Available new status | Meaning |
|---|---|---|
| In stock | Defective, Loaned out, or Used | The available item is marked as defective, temporarily loaned out, or permanently used. It no longer counts as available stock. |
| Loaned out | In stock or Defective | A returned item becomes available again or is marked as defective. |
| Defective | Destroyed | The defective item is marked as destroyed. |
| Delivered, Used, or Destroyed | None | This page offers no manual next step for this status, so Change status is not shown. |
Caution: choose the status carefully. You cannot restore Used or Destroyed from this page. A status set by a delivery or rental may also be part of that document or rental workflow.
If loading or updating fails
When Billnado cannot retrieve or save the item, it reports that the stock item could not be loaded or updated. Check that the item still exists and that you are using the correct administration. Reload the page and try the status change again. Check the displayed status first so that you do not misinterpret a change that may already have been processed.
Frequently asked questions
Why is there no button to change the status?
The button appears only when the current status has a manual next step. This page has no next status for Delivered, Used, or Destroyed.
Why can I not change the name, SKU, serial number, or warranty?
The stock record retains these values as the identification of the individual item and displays them as read-only. Edit product information on the product page; that change does not rewrite the snapshot on existing stock items.
